Data Retention Policy

This Data Retention Policy ("Policy") explains how Aiiplan ("Aiiplan," "we," "our," or "us") retains, stores, archives, anonymizes, and deletes information collected through the Aiiplan platform ("Platform"). This Policy applies to event organizers, attendees, guests, vendors, service providers, sponsors, venues, contractors, and other users of the Platform. By using the Platform, you acknowledge and agree to the retention practices described in this Policy.

1. Purpose of Data Retention

Aiiplan retains information for legitimate business, operational, security, legal, regulatory, tax, fraud prevention, customer support, and compliance purposes. Information may be retained to provide and improve Platform services, process transactions and payouts, facilitate events and bookings, maintain account functionality, prevent fraud and abuse, investigate disputes and complaints, comply with legal obligations, protect Platform security and integrity, and enforce agreements and policies.

2. User Records

Aiiplan may retain user account information, including name and contact information, account registration details, communication preferences, login history, device and security information, verification status, customer support records, and Platform activity records. User records may be retained for as long as reasonably necessary to provide services, maintain security, comply with legal obligations, resolve disputes, and protect Platform operations.

3. Event Records

Aiiplan may retain event-related information, including event listings, descriptions, ticket records, registration information, RSVP records, attendance records, check-in records, event communications, and event analytics and reporting data. Event records may remain available after an event concludes for reporting, customer support, compliance, fraud prevention, auditing, and business continuity purposes.

4. Payment Records

Aiiplan may retain records associated with financial transactions, including payment histories, refund records, chargeback records, payout records, commission records, billing records, and transaction verification records. Payment records may be retained for periods required by applicable law, financial regulations, payment processor requirements, audit obligations, and internal business recordkeeping practices. Aiiplan generally does not store complete payment card information unless specifically disclosed.

5. Tax Records

Aiiplan may retain tax-related information, including Social Security Numbers ("SSN") where lawfully collected, Employer Identification Numbers ("EIN"), tax reporting forms, 1099 reporting records, tax verification records, and compliance documentation. Tax records may be retained for periods required by applicable tax laws, IRS regulations, audit requirements, legal obligations, and recordkeeping standards.

6. Background Check and Verification Records

Aiiplan may retain records associated with identity verification procedures, government-issued identification reviews, background screening results, fraud prevention investigations, compliance reviews, and credential verification processes. Retention periods may vary based on legal requirements, safety obligations, fraud prevention needs, compliance programs, and risk management practices. Aiiplan may utilize trusted third-party providers to process or store portions of such information.

7. Security and Compliance Records

Aiiplan may retain information necessary to detect and prevent fraud, investigate suspicious activity, protect users and events, comply with legal requests, respond to regulatory inquiries, resolve disputes and claims, and support law enforcement investigations where legally required. Such records may be retained for extended periods when reasonably necessary to protect users, comply with legal obligations, or safeguard Platform operations.

8. Account Deletion Procedures

Users may request deletion of their accounts through available Platform tools or by contacting Aiiplan. Upon receipt of a valid deletion request, Aiiplan may deactivate the account, remove certain personal information, anonymize information where appropriate, and restrict future access to account data. However, certain information may be retained where necessary to comply with legal obligations, maintain financial records, satisfy tax reporting requirements, prevent fraud and abuse, resolve disputes, enforce agreements, and protect Platform security. Deletion of an account does not necessarily result in immediate or complete deletion of all associated records.

9. Data Minimization and Secure Disposal

Aiiplan seeks to retain information only for as long as reasonably necessary. When information is no longer required, Aiiplan may permanently delete records, anonymize records, aggregate information, or securely destroy data. Disposal methods may vary depending on the nature of the information and applicable legal requirements.

10. Legal Holds

Aiiplan may retain information beyond standard retention periods when reasonably necessary to respond to subpoenas or court orders, comply with legal obligations, support litigation or investigations, resolve disputes, and protect legal rights and interests.

11. Protection of Retained Information

Aiiplan implements reasonable administrative, technical, and organizational safeguards designed to protect retained information from unauthorized access, misuse, disclosure, alteration, or destruction. Security measures may include encryption, access controls, authentication procedures, monitoring systems, and secure storage practices.

12. Changes to This Policy

Aiiplan may update this Data Retention Policy periodically to reflect changes in legal requirements, business operations, technology, or Platform services. Updated versions become effective upon publication on the Platform. Continued use of the Platform constitutes acceptance of any revised version.
