Tax Reporting Policy

This Tax Reporting Policy ("Policy") explains how Aiiplan ("Aiiplan," "we," "our," or "us") collects tax information, generates tax reporting forms, and complies with applicable tax laws related to payments processed through the Aiiplan platform ("Platform"). This Policy applies to service providers, vendors, organizers, contractors, venues, sponsors, and other users who receive payments through the Platform. By receiving payments through the Platform, users agree to the terms of this Policy.

1. Purpose of Tax Reporting

Aiiplan may collect and process tax-related information to comply with federal, state, and local tax laws, satisfy Internal Revenue Service ("IRS") reporting obligations, verify taxpayer identity, facilitate lawful payment processing, prevent fraud and financial abuse, maintain accurate financial records, and support regulatory compliance. Users remain solely responsible for their individual tax obligations.

2. Social Security Number (SSN) Collection

Where legally required, Aiiplan may collect a Social Security Number ("SSN") from individuals receiving payments through the Platform. SSNs may be used to verify taxpayer identity, generate required tax forms, support IRS reporting obligations, prevent fraud and identity misuse, and process payouts and compliance reviews. Users are responsible for ensuring that all tax information provided is accurate and current.

3. Employer Identification Number (EIN) Collection

Businesses, corporations, partnerships, nonprofits, and other entities may be required to provide an Employer Identification Number ("EIN"). EIN information may be used to verify business identity, support tax reporting requirements, generate tax forms, facilitate payout processing, and comply with applicable regulations. Users must promptly update any changes to their tax information.

4. Tax Form Generation

Aiiplan may generate tax-related forms and reports as required by applicable law. Forms may include Form 1099-NEC, Form 1099-K, state tax reporting forms, backup withholding documentation, and other tax-related forms required by governmental authorities. The specific forms generated will depend on payment activity, legal requirements, and user classification.

5. 1099-NEC Reporting

Where required by law, Aiiplan may issue IRS Form 1099-NEC to eligible service providers, contractors, vendors, and other recipients of non-employee compensation. Users acknowledge that tax forms may be issued based on payment activity and legal reporting thresholds, that reporting requirements may change from time to time, that users are responsible for reviewing tax documents provided through the Platform, and that users remain responsible for reporting income and satisfying tax obligations.

6. IRS Compliance

Aiiplan reserves the right to verify taxpayer information, request additional tax documentation, correct inaccurate records, delay payouts pending verification, apply backup withholding where required by law, respond to lawful IRS requests and notices, and comply with all applicable tax reporting obligations. Users agree to cooperate with reasonable compliance requests.

7. Tax Record Retention

Aiiplan may retain tax records, verification documents, payout information, reporting records, and related compliance documentation for periods required by law or reasonably necessary for business, audit, fraud prevention, legal, or regulatory purposes. Retention periods may vary based on IRS requirements, regulatory obligations, audit requirements, fraud prevention programs, and legal recordkeeping obligations.

8. User Responsibilities

Users are solely responsible for reporting income, filing tax returns, paying taxes owed, maintaining accurate tax information, updating tax information when necessary, and consulting qualified tax professionals. Aiiplan does not provide tax, accounting, financial, or legal advice.

9. Failure to Provide Required Tax Information

Aiiplan may take one or more of the following actions if required tax information is not provided: delay payouts, suspend payout eligibility, restrict account functionality, require additional verification, apply legally required withholding, and suspend or terminate accounts for repeated non-compliance.

10. Data Security

Tax information is handled in accordance with Aiiplan's Privacy Policy and applicable data protection laws. Aiiplan may utilize trusted third-party providers to assist with tax verification, tax reporting, identity verification, compliance reviews, and secure document storage.

11. Changes to This Policy

Aiiplan may modify this Tax Reporting Policy from time to time. Updated versions become effective upon publication on the Platform. Continued use of the Platform constitutes acceptance of any revised version.
